The Human Resources Manager oversees the daily operation of the Human Resources department and all functions there-in. This position has direct report to the company’s CEO and supports any/all directives by of the company’s President and COO as needed. The HR Manager assists and supports the HR Specialist and Payroll Specialist . Essential Functions The following areas are considered essential functions of the HR Manager at D3 LLC and it is recognized that these functions may evolve and change as needed to fulfil the HR needs of the company: Recruiting · Along with the management teams, defines hiring needs for all North American business units. · Attend local job fairs to promote job openings. Specifically, but not limited to Stony Brook, Farmingdale State College, and FIT. · Job descriptions – ensures all positions in all entities have a clearly defined, written job description. · Ensures all recruitment mechanisms are utilized at the optimum level and includes, but is not limited to: job search engines (Indeed, etc.) employment agencies /head- hunters and School Postings (Handshake - Farmingdale and Stony Brook, etc.) · Reviews all incoming CV’s, filters for company fit and submits to CEO and managers for review. · Follows-up with managers for candidate selection and scheduling of interviews. · Make precise offer to final candidate and follow up · Ensures onboarding schedule is created with department managers and follows up with candidate to ensure onboarding is adhered to and successful. Community Outreach Maintains established relationships with local universities and continues to establish partnerships with additional schools and learning centers as needed. Oversees recruitment of interns from local universities. Oversees university projects and initiatives including, but not limited to: D3 being a venue for senior projects; scholarship funds, participation in university advisory boards, etc. Maintains relationship with local organizations that support the needs of learning disabled through job training initiatives and employment – i.e. ACLD and LifesWorc Maximizes employment opportunities at D3 LLC for clients of ACLD and LifesWorc, etc. Maintains relationships with the organizations’ managers and job coaches to ensure that their clients are well trained and have successful work experiences at D3 LLC Enhance D3 employee participation in Community services- Food Pantry, walk-a-thons, etc. Employee Events Assists with plan, set-up and breakdown of company events that both support community service organizations and encourage teamwork and comradery among the employees. Takes photographs throughout events and provides PowerPoint presentation page (to be reviewed by President & CEO) for posting on all facility screens and submission/post to social media. Employee Relations Continually follow-up with all employees to ascertain their job satisfaction, etc. Follow up after initial employment regularly and then less frequently after Identify star performers and track career dev Identify issue / poor performance, take corrective action and / or look for replacement. Continue to enhance employee experiences and coordinate events which include, but are not limited to: Holiday Party / Valentine’s Day / Mother’s Day / Breast Cancer / Thanksgiving / Food trucks / Ice Cream Truck Compliance Reports Responsible for assisting with data collection/documentation for all aspects of the following annual audits: · 401K- Annual audit conducted by CPA firm · EEOC Report · Workers Compensation Audit- · Annual ESR (Employee Shared Responsibility) Diam Interaction, Reporting and Projects · Attends all Diam International HR meetings (via teams) and addresses any/all initiatives discussed therein with President as needed. · Creates Bi-Annual PowerPoint page (submitted to Diam France) highlighting. company projects/accomplishments and new hires for the same period · Represents D3 on the Diam communication Committee. · Submits HR related information and statistics (KPIs) to Diam via Reporting 21 Employee Files & Documentation Along with the HR team, maintain all employee files and documentation in an organized manner. Ensures proper I-9 information is stored and maintained. Regularly tracking document expiration dates and making sure updated documents are filed. Immigration Documentation Support Partners and assists Immigration Attorney with internships, new employees from other DIAM entities, etc. Assists Immigration Attorney with all paperwork, completion of required forms and documentation and all follow up to ensure compliance with all regulations. Employee Benefits · Coordinates annual open enrollment activities for medical, dental & health insurances, including, but not limited to policy review/renewal, negotiations. · 401(k) – serve as liaison to the company’s 401(k) financial advisor and Paychex 401K representative. · Maintains and administers FMLA, NYS Paid Family Leave, Workers Compensation claims, completes employer portion of NYS Disability paperwork. Employee Handbook/ Policies and Procedures Will review employee handbook at least once a year with HR team to make sure it’s accurate and up to date. Create/revise company policies and procedure on an on-going basis as needed. Miscellaneous · Facilitates weekly HR meetings with management and maintains on-going documentation of same via designated spreadsheet. · Orders food and beverages for client meetings, etc. and ensures proper set up for meetings. · Assists managers with travel arrangements for company business as needed.
