GENERAL DESCRIPTION

Join a growing and diverse team of professionals at Illinois Tech's Human Resource Department in our journey to provide the best possible HR support and resources throughout the university. The Assistant will report directly to the Manager of Student Employment and will provide support and services to assigned areas of the organization, as well as support the Student Employment, Human Resources, and Finance Office, and their processing needs. The right candidate will be innovative, strategic, entrepreneurial, and adaptable. Able to address shifting priorities and challenges.

The salary range for this role is $40,000 - $45,000 and is commensurate with experience.

Effective, courteous, and responsive communications skills (oral, written, presentation) required to facilitate collaborative partnerships and build relationships with internal and external stakeholders at a variety of levels. This position communicates with students, faculty, staff, and external organizations via verbal, electronic, and written media. A high degree of diplomacy, tact and professionalism is required.

CUSTOMER SERVICE

This position provides internal and external customer service. The incumbent must represent the Human Resources organization professionally by providing accurate information in a prompt courteous manner.

Qualifications

Education & Experience

High school diploma with some college courses. Minimum of three years of experience in an HR office of a medium to large employer performing similar functions. Working knowledge of MS Office products including EXCEL, PowerPoint and WORD. Strong attention to detail. Excellent verbal and written communication skills.

Knowledge & Skills

Excellent time management and relationship skills. Ability to simultaneously manage multiple priorities . Excellent organizational skills with the ability to establish effective tracking systems. Ability to use good judgment and exercise discretion in carrying out duties related to confidential matters. Work must be completed with a high degree of accuracy. Ability to work independently as well as part of a team. Desire to provide excellent customer service to all levels of employees. Ability to meet deadlines.

SUPERVISION & BUDGET AUTHORITY

Not required to supervise others. Not required to provide budget authority.

Receptionist

  • Act as a receptionist for the Finance, Human Resources, and Student Employment Offices; greet visitors, answers phones and emails, and keep the front office and reception area neat and orderly
  • Routes incoming calls and emails to appropriate staff members
  • Provide calendaring support to the Finance, HR, SEO teams
  • Back up for processing verifications of employment and Public Service Loan Forgiveness

Key Responsibility

Administrative Office Support
  • Create and update student employment records
  • Ensure campus jobs are approved and posted in a timely manner
  • Assist employees with I-9 completion and other new hire paperwork
  • Create and submit new hire offer letters for students
  • Process terminations of student employees
  • Filing, scanning, data entry, processing invoices, etc.
  • Coordinate tasks including calendaring for HR/Finance/SEO, booking meeting spaces, and coordinating for major events such as the recognition awards.
  • Tracking and processing Sick and Paid Leave for part time staff, students, and faculty that are not tracked in the system
  • Other duties as assigned within the HR or SEO department
